The Brickyard Connection Flight Operations Administrator provides daily administrative support to the Flight Operations team. This role will report directly to the Director of Operations and is responsible for a variety of administrative tasks including communicating and clarifying company policies to crewmembers, resolving operational problems, leading pilot and mechanic on-boarding, coordinating charter requests, managing training records, both physical and digital, monitoring help desk tickets, and more at Brickyard Connection. The Flight Operations Administrator will have the opportunity to touch and impact all operations at Brickyard.

ESSENTIAL DUTIES

  • Conducts audits in accordance with regulatory and company policies on crewmembers and staff training records and documentation.

  • Act as the central point of contact for all operations communications and activity.

  • Create and maintain recordkeeping and filing systems, both electronic and physical.

  • Audits and prepares crewmember training record packages to include training records, FAA forms, logbooks, and compliance items.

  • Collects and organizes crewmember training documents through scanning, delivery, and data entry.

  • Monitors open support requests and responds to the submitter or assign to the appropriate team member.

  • Audits, prints, and inserts revisions to vendor and company manuals.

  • Responsible for flight operations logistics needs.

  • Monitors and renews flight operation subscriptions.

  • Monitors and coordinates correction of discrepancies in training records.

  • Serves as the front-line representative for the director of operations, chief pilot, and flight operations team, assisting crewmembers and associates when possible and escalating to leadership when appropriate.

  • Responsible for crewmember onboarding and offboarding and regulatory compliance activities.

  • Serve as the DER – Designated Employer Representative for the air carrier drug and alcohol program, which includes 24/7 on-call availability.

  • Assists with the preparation of crewmember schedules and payroll.

  • Other duties and responsibilities as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
The requirements listed below are representative of the knowledge, skill, and/or ability necessary to perform this job.

EDUCATION and/or EXPERIENCE.

  • Associate degree or higher in Aviation Management, Business, Finance or relevant field or equivalent combination of education and experience.

  • One year experience working with crewmembers in a flight operation or related industry.

  • Organizational skills to manage multiple projects.

  • Strong oral and written communication skills.

  • Highly effective collaborative and interpersonal skills.

  • Strong customer service skills.

PREFERRED EDUCATION and/or EXPERIENCE

  • Bachelor’s Degree or higher

  • Charter flight operations (part 135) experience.

  • Familiarity with operations scheduling software including Airplane Manager, ARINC FOS, ForeFlight Dispatch.

  • Knowledge of regulations including 14 CFR Part 61, Part 91, and Part 135.

  • Knowledge of DOT and FAA drug and alcohol regulations including 14 CFR Part 120 and 49 CFR Part 40.

REGULATORY REQUIREMENTS:

  • Able to pass a fingerprint based criminal background check. 

  • Possess and maintain a valid US passport or foreign passport. 

  • Authorized by law to work in the United States and able to travel in and out of the United States. 

  • Willing to submit to and able to pass a Company mandated pre-employment drug test.

LANGUAGE SKILLS
Ability to read and comprehend complex instructions, short correspondence, and memos.  Ability to write general correspondence.  Ability to effectively present information in one-on-one and small group situations to Flight Operations Team.  Able to deliver negative information in a tactful and professional manner.

REASONING/PROBLEM SOLVING ABILITY
Possess strong analytical skills.  Ability to apply common sense understanding to carry out detailed written or oral instructions.  Ability to deal with problems involving many concrete variables in critical situations.  Able to deal with conflict effectively while treating all employees with respect.
