The role we are offering you:


The Global Mobility Administrator works in close collaboration with CAE Global Mobility Team facilitating various aspects of international assignments and ensuring

smooth operations.Are you ready to:

  • Collaborate with Global Specialist for assignment initiations, documentation review, and financial budgeting arrangements:

  • Work closely with the Global Mobility Specialist to kickstart international assignments effectively.

  • Review and maintain necessary documentation related to these assignments

  • Assist in preparing financial budgets to ensure cost-effective mobility solutions.

  • Prepare pre-assignment cost projections for Global Mobility Specialist:

  • Calculate and provide detailed cost projections for international assignments, which aids in effective financial planning.

  • Initiate files in the providers system, provide system access, and follow up with external global mobility providers:

  • Set up assignment-related files in the companys systems.

  • Ensure access to global mobility platforms for necessary stakeholders.

  • Act as a liaison with external global mobility service providers, such as immigration, tax, and relocation experts, to facilitate a seamless transition for transferees.

  • Coordinate payment of invoices from CAE service providers:

  • Oversee the payment process for invoices from various service providers, ensuring accuracy and timeliness.

  • Coordinate Tax payments, including cheque requisitions and mailing the payment package:

  • Handle tax payments efficiently, including requisitioning checks and sending payment packages to relevant tax authorities.

  • Organize the mailing of original checks/letters to relevant tax authorities:

  • Ensure that all necessary documentation is sent to tax authorities in a timely and organized manner.

  • Generate Workday Global Mobility reports, e.g., Pull employment reports:

  • Utilize Workday to generate reports related to global mobility, which can help in tracking and managing international assignments effectively.

  • Maintain expat and the annual tax authorization lists:

  • Keep lists of expatriates and annual tax authorizations up to date, ensuring compliance with regulations.

  • Send reminders to CAE employees to complete the Tax and Immigration provider forms:

  • Ensure that employees are aware of and complete the necessary tax and immigration forms, helping to avoid delays and issues during international assignments.

  • Support Business traveler US Prep Call calendar invitations for CAE employees traveling to the US on a weekly basis:

  • Assist in organizing preparation calls for CAE employees traveling to the US, ensuring they are well-prepared for their trips.

  • Undertake additional project work as assigned by the GM Manager:

  • Be open to taking on additional projects and tasks as directed by the Global Mobility Manager, which may include implementing international secondment programs or other initiatives.

  • Maintain work permit data updated in Workday for transferees and expatriates:

  • Keep work permit information in Workday current and accurate for both transferees and expatriates.

  • Coordinate the signature, affix CAE Stamp, and mailing of Corporate/HR Support immigration letters within CAEu2019s foreign entities regarding all types of immigration applications:

  • Manage the process of obtaining signatures, affixing the company stamp, and sending immigration letters, ensuring compliance with immigration requirements.

  • Coordinate the posting of latest updates to Global Mobility page on CAE360:

  • Keep the companys Global Mobility page on CAE360 up to date with the most recent information and updates.

  • Establish and maintain a list of CAE Global Mobility payroll contact persons abroad:

  • Maintain a directory of key contacts for CAE in foreign locations, which can be crucial for communication and coordination of assignee files.

  • Upload the work permit expiry list to SharePoint monthly:

  • Regularly update the work permit expiry list on SharePoint, allowing for easy access and monitoring of work permit status.

  • Monitor the Global Mobility Inbox:

  • Keep a close eye on the Global Mobility inbox, ensuring that communication and inquiries are addressed promptly and effectively.

Our ideal candidate has:

  • College or professional degree in secretarial studies, or equivalent combination of related training and experience.

  • Communication skills in both English and French languages (written and spoken).

  • Good organizational and planning skills.

  • Good attention to detail, team spirit, flexibility, tact, diplomacy, and ability to work in a fast-paced environment.

  • Take initiative, autonomous and willing to learn.

  • Effective time management and responsible.

  • Maintain high level of confidentiality.

  • Strong knowledge of Excel and other tools of the MS Office suite

  • Knowledge of Workday is a plus
