What you can expect as a Billing Coordinator at West Star:
The Billing Coordinator is responsible for assisting Maintenance Operations and Finance with the overall preservation and enhancement of departmental tasks. This position will serve as a liaison between the maintenance and finance groups related to work order management, parts procurement, billing, accounts receivable disputes, data analysis and month end close. The Billing Coordinator will assist with streamlining companywide processes to improve overall efficiency and productivity. This position will also assist with the administrative needs of the office.
You will be ESSENTIAL to many FUNCTIONS including:
- Responsible for the billing and finance functions of retail maintenance work orders.
- Create and monitor customer quotes and estimate approvals while collaborating with multiple departments.
- Research and resolve part related issues collaborating with Procurement and Operations.
- Identify and resolve invoice disputes with customers in a timely manner.
- Ensure compliance with established accounting procedures related to daily operations.
- Collaborate with Corporate Finance to ensure invoices and purchase orders are accurate and up to date.
- Process and apply expense reports to corresponding work orders for accurate billing.
- Respond quickly, professionally, and accurately to all internal and external correspondence.
- Assist Billing Manager with regular review of routine departmental procedures seeking improvement.
- Provide administrative support to ensure efficient operation of a maintenance location.
- Exhibits polite and professional communication in person, via phone and email.
- Coordinate, purchase, and maintain basic stock of all office supplies and equipment.
- Manage the airport badging process coordinating with new hires on the process and necessary coursework.
- Provide clerical support in the form of spreadsheets, labels, and signage as requested.
- Responsible for front desk coverage with tasks including package acceptance, front door monitoring and customer service.
- Effectively and clearly communicate (i.e., speak, write, read) in English
- Any other job-related duties as assigned by supervisor or management
What you’ll need to bring with you:
Your Education:
A High school diploma or equivalent. A valid driver’s license approved for airline travel and/or a valid passport is ideal, but not mandatory.
Your Experience :
Strong verbal, written and interpersonal skills.
Customer service-oriented.
Working knowledge of computers required.
