POSITION SUMMARY

The basic function of an administrator is to apply process management lean tools to administer efficiently a process or project; demonstrating sense of organization and ownership to control processes in the material support and services area, such as: stock replenishment process, monitoring of inventory parameters and customer usage to assure contractual performance, coordination of actions to solve inventory discrepancies related to spare parts in the special program contracts, development of an efficient flow of goods, services, and information to meet customer requirements.

JOB RESPONSIBLITIES

Level of Autonomy

The Administrator needs demonstrate ability to apply increasing levels of independent thought and action, receiving guidance only on more complex issues; work is still checked; may provide some work direction and/or guidance in an unofficial capacity to one or more Administrative Exempt Entry Level professionals on an-needed basis.

Main Activities

Provides AOG support to operators under special programs contracts with EACS.

Expedites delivery of open repair and purchase orders as needed

Detects needs and improves customer-Embraer relationships.

Handles internal administration activities for customer inquires, such as sales orders, notifications and any other data input into SAP system.

Prepares spreadsheets, graphics, reports, controls and presentation to assure accomplishment of special programs contractual terms.

Monitors key performance indicators (KPI’s) for material support processes and activities including special programs, third parties activities and for all tasks that are considered important for the performance of material support programs and services.

Monitors special programs back orders and participates in the DOS - Daily Operational Support meetings to assure prioritization of the activities to support special program contract obligations.

Interfaces with corporate order desk and purchasing areas to assure support for Customer AOG requests.

Takes part in customer assistance 24 hour services, On-Call rotation.

Discusses customer problems and resolutions with management.

Support management in special programs contracts negotiations.

Identifies opportunities for operational processes and activities optimization, rationalization, and modernization.

Defines rules for transportation regarding applicable carriers, services, and payers.

Implements, monitors and enforces the application of policies and procedures.

Monitors transportation service levels.

Arranges special transportation when needed (big volumes, remote locations, out of normal requests).

ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIES

Education: High School Diploma.

Desirable: Business Administration or Technical associate degree

An Administrative Certification may also be required and a Master’s Degree as noted above may substitute for some additional years of experience.

Experience:

FLSA Exempt, Intermediate Level Administrative Professional Contributor on a Project or Work Team.

Generally, 3-5 years of experience in area of responsibility or 1-2 Years of experience with an Advanced Degree.

Highly experienced in supporting customers with spare parts planning and sales and repairs processes.

Knowledge, Skills & Abilities:

Possesses and applies a broad knowledge of principles and practices in their work assignments which typically are moderately complex in nature.

Proactively Identifies potential solutions to issues and takes action to resolve those issues after consultation with manager.

Aircraft familiarization with emphasis on aircraft spare parts and repairs process.

Understanding spare parts sales and exchange processes.

Negotiation techniques.

Profound knowledge of logistics and material supply processes and activities.

Aeronautical familiarization.

SAP and Sales Force proficiency

Ability to work quickly and efficiently in a safe and professional manner.

Effectively manage others while ensuring quality work.

Proficient in MS Office, Lotus Notes, Internet Explorer, SAP.

Follow company policies and procedures.

People management skills (HR guidelines, tools & policies).

Familiarization with value-based management fundamentals (Shareholder Satisfaction x Customer Satisfaction x Employee Satisfaction), employment law (sexual harassment, disability, discrimination, labor laws, etc.).

Familiarization with basic concepts related to statistic and planning (Target Program management).

Ability to effectively and independently manage multiple priorities.

Strong verbal and written communication skills required, including interpersonal skills.

Work well in a team environment.
