SUMMARY

Under the limited supervision of the Chief Executive Officer, responsible for providing executive and strong project management support to the CEO; plan executive schedule aligned to strategic priorities, organizational initiatives, and CEO Objectives. The incumbent will also plan, execute, and manage various project initiatives.  

RESPONSIBILITIES 

  • Manage and organize the CEO’s daily portfolio of projects & meetings.  This includes providing regular briefings, creating agendas, background and reference materials, and ensuring all arrangements for meetings (such as travel, meals, and logistics) have been completed by the appropriate staff members for the executive office’s projects.
  • Research topics as assigned by the CEO regarding items needed for meeting preparation, special projects, and key initiatives.
  • Interface with high-level internal and external stakeholders to continuously refine the top priorities of the CEO; attend all required meetings.
  • Plan, organize, and manage the entire life cycle of complex, cross-functional projects simultaneously, including partnering with necessary departments as needed to define scope, goals, and key performance indicators.
  • Manage the design, development, implementation, and continuous improvement of project management and other areas for the CEO.
  • Build and maintain relationships with the Senior leadership Team; partner with them as needed to facilitate strategic decision making and ensure quality execution of projects. 
  • Assemble and lead project teams as necessary; provide direction and facilitate the decision-making process.
  • Manage all aspects of communications between leadership, employees, and external stakeholders on various projects; collaborate with the Marketing, Comm, & Cust. Exp department when needed.
  • Identify risk and develop mitigation strategies to ensure minimal disruption during the project phase. 
  • Create long and short-term project plans, including setting targets for milestones and adhering to deadlines and budget.
  • Perform other related duties as assigned.

  • Highly proficient in Microsoft Office software including Word, Excel, Project
  • Extensive organizational skills, and the ability to manage multiple projects and meet deadlines effectively in a fast-paced environment
  • Considerable skills in critical thinking and problem solving
  • Considerable ability to prioritize and use sound time management and communicate deadline requirements effectively to others
  • Working knowledge of project management tools and techniques
  • Ability to procure and manage consultants/contractors
  • Ability to travel 5 to 10

REQUIREMENTS:

The following requirements list the minimum education/training/experience required to qualify for this job. An equivalent combination of education and experience may be accepted.

  • Bachelor’s degree in business administration from an accredited college or university. 
  • 5 years related experience in project management, with 3 years experience supporting a CEO, C-Suite, or Executive Office leader.
  • Possess or obtain prior to employment a valid Pennsylvania Class C driver’s license.  Note: license must be maintained throughout employment. 

SUPERVISION RECEIVED/EXERCISED 

Receives limited supervision from the Chief Executive Officer / Executive Assistant

Employment is contingent upon the results of a post-offer (initial employment or promotion) drug screening.  Continued employment may be subject to drug and alcohol testing conducted without advance notice and without individualized suspicion. 

PRE-EMPLOYMENT BACKGROUND INVESTIGATION:

Ability to successfully pass a thorough investigation consisting of a criminal history check (including but not limited to the requirements of TSR 1542.209), verification of prior employment and performance, reference and credentials checks, and in some cases credit history.
