We are currently seeking a skilled and detail-orientated Technical Records Supervisor to join our team at our Calgary, Alberta base. The Technical Records Supervisor is part of the production department, reporting directly to the Maintenance Control Manager and indirectly to the Director of Maintenance. The main purpose of the position is to lead the technical records department to ensure accurate organization, maintenance, and safe keeping of all company aircraft Technical Records.

Job Responsibilities
  • Supervise a team of technical records specialists responsible for accurately recording and maintaining aircraft maintenance and inspection records.

  • Provide training and guidance to staff on record-keeping procedures, regulatory requirements, and industry standards.

  • Be accountable to the Maintenance Control Manager and Director of Maintenance for the accuracy and completeness of all technical records, including maintenance logs, compliance documents, and airworthiness certificates.

  • Collaborate with the production department to address technical record-related challenges and resolve issues effectively.

  • Assist in the development and improvement of technical records and systems.

  • Be able to carry out technical record specialist duties as follows:

a. Perform the daily audit and verification of journey logs and work completed documents. b. Transcribe data from journey logs and work completed documents into the maintenance tracking computer systems.

c. Perform the daily audit and reconciliation of scheduled and unscheduled maintenance items.

d. Audit and verify maintenance task projections in the computer maintenance tracking systems currently in use.

e. File and maintain all technical documents.

f. Assist in aircraft imports/exports, including aircraft systems loading.

g. Review part changes, validate Hard Time (HT) part changes, update, and maintain HT files.

h. Organize, scan, and archive all Advisory Circulars (A/C) documentation.

i. Update and maintain Airworthiness Directives (AD), Service Bulletins (SB), electronic lists, and associated files.

j. File and maintain hard copies and digital files of maintenance documents. k. Produce month-end reports.

l. Research projects.

m. Work collaboratively with colleagues in Planning and Records, as well as stakeholders in other departments, to ensure service level is achieved.

  • Demonstrate an understanding of safety issues and actively support Central Mountain Air’s Safety Management Systems program as required by Transport Canada.

  • Actively promote safety and quality within the organization and department by encouraging employee participation in the Safety Management System and ensure effective communication with all stakeholders.

  • Comply with all SMS and safety policies, processes, and standards.

  • Other duties and tasks as assigned by the Maintenance Control Manager.

Job Requirements
  • 4 years experience working within an Aircraft Technical record department.

    Minimum two (2) years’ experience in a supervisor role within an Aircraft Technical record department.

    High school diploma or equivalent required, post-secondary education in Office Administration is considered an asset.

    Comprehensive knowledge of Canadian Aviation Regulations (CARS) and Transport Canada legislation, as it relates to aircraft records and industry standards.

    Working knowledge of technical maintenance manuals.

    Possess proficiency in Microsoft Word, Excel, and PowerPoint, coupled with a demonstrated ability to quickly adapt to other relevant applications and intermediate-level technical/office equipment.

    Experience with WinAir7 is considered an asset.

    Capable of managing multiple tasks simultaneously and adept at meeting numerous and/or unforeseen deadlines within a fast-paced and challenging environment.

    Demonstrate sound judgment regarding confidential and sensitive matters.

    Strong communication, organizational, and interpersonal skills.

    Proficient in accurately inputting high volumes of work with a keen eye for detail, while demonstrating strong time management skills.

    Able to work independently and within a team environment.

    Promotes a culture of safety.

    Maintain a high level of professionalism in all interactions.

    Flexibility to adjust shifts according to workload fluctuations based on executive and company priorities and deadlines.

    Complete company training courses and have successfully completed a qualifying exam as directed by Maintenance Management.

    Understand the appropriate parts of the Maintenance Policy and Procedures Manual.
