What the position is:
The Accounts Payable Specialist will process (receive/reconcile/ enter/pay) all invoices received by the Company and assist the Accounting Manager with special projects as necessary.
Essential functions:
• Obtain approval of invoices before processing in the accounting software system.
• Accurately match invoices to purchase orders or other source documents.
• Apply knowledge of purchases to assign general ledger account to invoice.
• Identify purchases that should be capitalized.
• Ensure accuracy and completeness of vendor/invoice information.
• Identify and reconcile any discrepancies with appropriate parties before assigning payment to vendors.
• Process check runs according to department procedures.
• Troubleshoot any processing problems
• Void checks as necessary.
• Keep Accounting Manager informed and updated regarding vendor account status.
• Communicate with vendors and other departments as to the status of invoices, payments, coding, etc
• Track and enter company credit card purchases and contact employees for expense documentation
• Correspond with purchasing personnel as often as necessary to ensure payment or reconciliation issues are resolved timely and accurately.
• Provide input to the company’s cash forecast.
• Participate in special projects and other tasks as needed for the accounting department.
General requirements & qualifications:
• Legally Authorized to work in the US
• Fluent in the English language, both written and spoken
• Minimum two-year degree
• Three years of relevant experience
• Proficient in MS Excel and other MS Office applications
• Fundamental understanding of accounting terminology and concepts
• Self-starter who works well independently
• GreatPlains knowledge preferred
Physical Requirements:
Sedentary Work- Exerting up to 10 lbs. of force occasionally and/or a negligible amount of force frequent or constantly to lift, carry, push, pull or otherwise move objects, including the human body, sedentary work involves sitting most of the time and walking/standing occasionally with or without accommodation. Ability to sit for extended periods while working on a computer.
Visual Acuity:
Machine operators with inspection- Includes inspection, close assembly, clerical administrative; This is a minimal standard for use with those whose work deals largely with preparing and analyzing data and figures, accounting, computer, extensive reading, visual inspection involving small defects, small parts, operation of machines using measuring devices, assembly, or fabrication of parts with or without corrective lenses.
Environmental Conditions:
Inside environmental conditions, protection from weather conditions but not necessarily from temperature changes.
