Job Description:
Primary Objective of the Position:

Under the direction of the Senior Manager, Fuel and De-icing, the successful candidate will perform daily reconciliation activities for high-value inventory items such as jet fuel and de-icing fluid. This role requires meticulous attention to detail to ensure timely and accurate reporting, advanced database management skills, and the ability to leverage vendor portal APIs to streamline reconciliations and reporting processes.

Principal Duties and Responsibilities:
  • Ensure accuracy and integrity of automated fuel tracking systems across Canada.
  • Perform monthly reconciliations for jet fuel and de-icing fluid, identifying discrepancies promptly and coordinating resolutions.
  • Guide and support process improvements, particularly through the enhancement and optimization of database systems (e.g., SQL, Microsoft Access, Oracle, or other suitable databases).
  • Utilize vendor portal APIs effectively to expedite the reconciliation process and improve accuracy.
  • Prepare weekly fuel cost analyses, identifying variances, reporting findings, and recommending corrective actions.
  • Conduct monthly Consortium Fuel Inventory reconciliations and reporting, ensuring precise documentation and accountability.
  • Develop and present monthly Customer Fuel Invoicing Profitability Analysis.
  • Analyze and report annual fuel volume usage by station, highlighting key trends and insights.
  • Validate and audit fuel and de-icing vendor invoices, ensuring timely identification and correction of errors or discrepancies.
  • Collaborate with internal and external stakeholders, providing analytical support and resolving inventory-related inquiries efficiently.
  • Other duties as assigned.

Minimum Qualifications:
  • Post-secondary education in Accounting, Finance, Business Administration, or a related discipline is preferred; a minimum of 3 years experience in accounting, inventory reconciliation, or financial analysis is required.
  • Demonstrated expertise in reconciling high-value inventories, such as jet fuel or de-icing fluid, preferably within the airline or aviation industry.
  • Proficiency with advanced Excel functions (pivot tables, VLOOKUP, macros, advanced formulas) is required.
  • Proven experience building, managing, and optimizing databases (SQL, Microsoft Access, Oracle) for efficient reconciliation and reporting purposes.
  • Experience integrating vendor portal APIs into existing systems to enhance reconciliation speed and accuracy.
  • Ability to thrive in a fast-paced environment, adapt quickly to shifting priorities, and deliver results.
  • Exceptional attention to detail, strong organizational skills, and commitment to accuracy.
  • Ability to work collaboratively within a team, with excellent interpersonal and communication skills.
  • Strong data-entry and analytical capabilities.
