Position Summary:

Under the direction of the Flight Operations departments Business Operations Project Manager, the Compliance Project Coordinator will be responsible for the compliance, maintenance, and updates of the Aviation & Maintenance Publications library, record keeping database, subscription renewals, liaison with vendors, Original Equipment Manufacturers (OEM) account management, pilots, mechanics, leadership and at base locations regarding aircraft.

Responsibilities Include:

  • Track compliance for all flight manuals in PHI Connect Credentials database, producing document distribution lists for maintenance and for compliance with FAA regulations.
  • Develop relationships with vendors to understand areas for cost savings, condensing number of subscriptions and/or set up with Master Service Agreements for multi-year contracts and price discounts. Manage compliance tracking of H122 Ops Specs exemptions and allocation deadlines to ensure proper auditing occurs prior to deadline of expiration.
  • Develop and generate reporting to meet business objectives and requirements.
  • Create user documentation, training materials and train when needed.
  • Provide end-user training and assist in technical writing of procedures and processes.
  • Manage all new subscriptions for new aircraft and/or base locations for chart maps, flight manual, navigation data, flight manual revisions, online portal access for aircraft, maintenance, and engine manufacturers.
  • Manage Original Equipment Manufacturer (OEM) portal access - add new, delete terminations, trouble shoot portal issues, password resets, order additional flight manual supplies, and review/process invoices.
  • Manage reoccurring Chart Map orders, inventory management and invoice processing.
  • Update company tracking database with recent Flight Manual (FM) revisions, prepare, ship, track, and update compliance for fleet.
  • Update publications library on company intranet page with download cycle dates, Air Worthiness Directives, notices from FAA and/or OEM Sites.
  • Order needed supplies for bases and aircraft - flight manuals, flight manual revisions, additional chart maps, navigation data cards, navigation data card readers, etc.
  • Provide end-user training and troubleshooting for software applications with base personnel for NavData, Flight Manual updates, HTAWS downloads, EGPWS downloads, Obstacle Terrain downloads, etc.
  • Liaison with navigation data vendors for further troubleshooting, maintenance, replacement and/or repair.
  • Manage development, vendor selection, and coordinate production for new passenger safety cards for entire fleet. Coordinate future inventory at RMCs for future disbursement.
  • Manage incoming quotes and invoices for 1,200 annual subscriptions.
  • Publications Compliance liaison to other company departments.
  • Convert all OEM flight manuals, 337s, STCs, and other aircraft supplements to digital format.
  • Editor role in Web Manuals for uploading, managing content and maintaining updates for all FAA required Flight Manual documents, by aircraft model and by registration number.
  • Develop, train staff, and maintain integrated process of digital weight records for all aircraft in Web Manuals.
  • Audit digital Flight Manuals monthly to ensure compliant Form C data is up to date, and pilots have continued compliant electronic access.
  • Assistant to Project Business Operations Manager to gather data from business units, develop and customize software, develop training materials, and facilitate training and end user support for implementation of new Flight Software.
  • Assistant to Project Business Operations Manager to help organize and efficiently produce large, complex projects.
  • Provide business continuity for Project Business Operations Manager, for all end user support, project support, troubleshooting, and all other responsibilities.
  • Monthly communication updates to pilots and mechanics with cycle dates, new items shipping, and changes to Publication processes.
  • Process and quality improvement.
  • Responsible for the completion of long-term Publication Projects.

The Successful Candidate Will Have:

  • Minimum high school diploma or equivalent. Advanced education preferred.
  • 3 or more years related industry experience.
  • 2 or more years similar scope Project management experience.
  • Proficient knowledge of Microsoft Office software (Word, Excel, PowerPoint, Outlook, SharePoint, Teams) and Windows computer applications. Including: merging, developing complex tables and forms, preparing general office correspondence, maintaining computer files.
  • Must be able to effectively organize and monitor a successful workflow to meet required calendar deadlines for navigation database updates, obstacle/terrain database updates, and any other avionics updates as needed.
  • Requires excellent skills in grammar, spelling, punctuation and organization.
  • Must be able to read, comprehend, write and speak English fluently.
  • Must be able to work with frequent interruptions and work on multiple projects simultaneously.
  • Must be able to pass a pre-placement drug test and background screen.
  • This position is designated as Safety Sensitive for the purposes of the Arizona Medical Marijuana Act.
