The Boeing Company is currently seeking an Executive Office Administrator to join the Boeing Research & Technology team, located in Huntington Beach, California.  This role will include supporting executive leaders that are co-located within our region and organization.  

The successful candidate will be proactive, demonstrate a robust attention to detail and an ability to adjust priorities efficiently and effectively. They will also have the ability to quickly familiarize themselves at a high level with new issue areas as well as the ability to shift from supporting work in one issue to the next.

Position Responsibilities:

  • Coordinates and processes domestic and international travel arrangements, monitors designated business traveler’s logistics, generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards. Collects and compiles data to provide visibility of status for traveler’s review and/or signature.

  • Coordinates with internal and external visitors on logistics and resources for meetings/events to include executives or other Boeing visitors, interview candidates, suppliers and vendors.

  • Coordinates & maintains busy calendars of multiple Executives to schedule meetings

  • Assists with deliveries and mail as well as shipments.

  • Creates, edits and maintains electronic and written communications (i.e. letters of delegation)

  • Processes incoming and outgoing communication and correspondence to ensure proper distribution of information.

  • Schedules management-level employee time and availability for efficient use of time.

  • Acts as Conference Room Focal

  • Coordinates with the appropriate focal(s) to support the acquisition and maintenance of resources.

  • Provides EOA Back-up support for the Vice-President (VP)/General Manager (GM)

This position is expected to be 100 onsite.  The selected candidate will be required to work onsite at one of the listed location options.

This position requires the ability to obtain a U.S. Security Clearance for which the U.S. Government requires U.S. Citizenship. An interim and/or final U.S. Secret clearance Post-Start is required.

Basic Qualifications (Required Skills/Experience):

  • 5+ years of experience organizing and facilitating WebEx meetings (or similar online meeting tools)

  • 5+ years of experience working with Microsoft Office Products including Outlook, Excel, Word, PowerPoint, SharePoint, and Lync

  • 5+ years of experience with server administration and file management structure

  • 5+ years of experience supporting calendars, travel, and meetings for higher level management

  • 5+ years of experience coordinating and processing travel arrangements, generating expense reports and reconciling corporate credit card charges

Preferred Qualifications (Desired Skills/Experience):

  • College coursework and/or degree

  • Foreign language proficiency

  • Experience interacting with external customers

Typical Education/Experience:

Education/experience typically acquired through basic education (e.g. High School diploma/GED) and typically 7 or more years related work experience or an equivalent combination of education and experience (e.g. vocational school/Associate+5 years related work, Bachelor+2 years related work, etc.)

Relocation:

Relocation assistance is not a negotiable benefit for this position. Candidates must live in the immediate area or relocate at their own expense.

Pay is based upon candidate experience and qualifications, as well as market and business considerations.  

Summary Pay Plan: $68,850 - $93,150
