Position Summary
We are seeking a highly organized, proactive, and detail-oriented Executive Support Specialist to provide comprehensive support to our executive team. This role requires an individual who can manage a diverse array of responsibilities, handle confidential information with discretion, and thrive in a fast-paced environment. The ideal candidate will have excellent communication skills, a strong ability to multitask, and a deep commitment to helping our executives operate at their highest potential.
This is an on-site role from our Burbank, CA office at the Burbank, CA airpark. The posted salary ranges, for this non-exempt position, will default to that of your regional location and will not include any premiums. The baseline range for this position is $36 - $47 hourly, which is equivalent to $75,000 - $98,000 annually.
Minimum Requirements
Experience: 5+ years in an administrative or executive support role, preferably supporting senior executives.
Education: Bachelor’s degree in business, communications, or related field preferred but not required.
Experience in a high-growth environment.
Knowledge and understanding of Business Aviation Industry
Knowledge of project management tools (e.g., Asana, Salesforce, Trello).
Experience with expense management software (e.g., Concur, Expensify).
Main Responsibilities
- Coordinate and manage executive calendars, ensuring efficient scheduling and minimizing conflicts.
- Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Prepare agendas, PowerPoint presentations and meeting materials, schedule virtual meetings or meeting rooms as needed.
- Serve as the primary point of contact between executives and internal/external stakeholders, maintaining a professional, confidential and responsive presence.
- Support special projects and initiatives as directed by executives, including research, data collection, and analysis.
- Create, edit, and maintain documents, manuals, records, presentations, reports and other items as requested.
- Prepare and submit expense reports for executives, ensuring compliance with company policies and timely processing.
- Organize and coordinate executive team events, offsites, meetings, promotional material and handling all logistical details. Some travel may be required ins support of events.
- Anticipate and address potential issues, ensuring executives have the support needed to address challenges promptly.
- Burbank Location Support: Operational support of day to day including but not limited to purchasing, support of last-minute onsite requests, concierge needs, maintenance of cabin service areas, facility escorts for individuals/ vendors onsite in coordination with line service or other departments. Answering phone and greeting visitors as needed. Assist in maintaining office supplies, equipment, and services to ensure the executive team’s needs are met. This may include lifting and carrying supplies, equipment, or documents to different areas of the office.
- Represent Jet Aviation as one company internally and externally with industry groups, regulatory bodies and the General Dynamics network.

- Full time position with standard office hours, with occasional extended hours depending on business needs.
