Serves as a Management Analyst within the Office of the Chief Counsel (AGC), Office of Operations & Legal Support (AGC-010). The incumbent will provide administrative and analytical support for a variety of program areas.
Duties
Performs basic but progressively more difficult assignments under the close direction of a manager, project/program manager, team leader, or more experienced professional. Provides direct support to the managing director of the Administration Division. Carries out a variety of diverse administrative, organizational, and analytical functions/tasks as requested by the management team.
Executes administrative activities and procedures for the operation of a program or office. Drafts a variety of technical and routine legal documents including letters, memos, reports, and filings. Proofreads final documents for accuracy, spelling, grammar, punctuation, and completeness. Locates and compiles information from files for attorney use. Uses Microsoft Office Suite and Adobe software to accomplish work-related tasks to organize, store, and retrieve a variety of documentation types. Scans, indexes, labels, organizes, and files both electronic and paper copies of legal documents. Accurately enters information into a variety of data tracking and document
management systems.
Implements and disseminates administrative policies. Maintains and updates organizational directories, calendars, records, manuals or supply inventories in support of a program or office. Conducts, reviews, and analyzes program needs and prepares regular and recurring reports on items, such as: budget; manpower; contractual obligations; travel; time and attendance; records management; and supply needs.
Prepares, sends, and tracks legal correspondence and filings. Ensures outgoing mail has appropriate labeling, and complies with office policies. Efficiently processes incoming mail, communications, documents, and filings including date stamping, logging as necessary, and distributing to the appropriate attorney. Assists attorneys with travel related tasks, such as arranging flights, rental cars and hotel accommodation. Assists in the preparation of travel vouchers associated with official government travel and entering travel related expenses into the travel system or other expense processing systems.
Exhibits effective interpersonal skills and poise necessary to work with people in business. Answers phones, records messages, and receives and directs calls and visitors. Uses analytical skills and administrative techniques necessary to organize, prioritize, and manage the information and work flow in an office setting.
Conducts duties and responsibilities in accordance with sound judgment and professional standards, and in a business-like, professional and helpful manner. Maintains and respects the confidential nature of legal work, including protection of personal information, identification of pre-decisional internal documents, and protection of documents and information subject to the attorney-client and attorney work product privileges.
Established policies/procedures provide detailed guidance for almost all assignments, with little or no room for discretion. Identifies problems and determines accuracy and relevance of information, and uses sound judgment to generate and evaluate alternatives and develop effective solutions. Refers problems and work issues to a manager, project/program manager, team leader, or more experienced professional for guidance. Works under detailed instructions provided by a manager, project/program manager, team leader, or more experienced professional. Work is reviewed regularly during assignments and at completion to ensure timeliness and all aspects of
quality.
