This position is responsible for project meeting scheduling and facilitation; resource planning; tracking of project progress, financial reconciliation and preparation for project reporting at all levels (Core Project team, Stakeholder and Steering Committee’s) for the Facility Projects team.
The PCO - Facility Projects Specialist also monitors the overall financial operations of the Facility Projects group including operating budgets and capital budgets. In addition, provides ongoing support to Project Managers (PMs) in the use of Tririga, financial tracking, payments, forecasts, reporting and quality control of all project documentation, supports and audits Project Managers and liaises with Accounting and Finance departments.Responsibilities:
Responsible for facilitating the successful delivery and implementation of multi-functional infrastructure projects for multiple branches.Support the Ps for on time delivery of projects and as per project budget (AFC/CA) through efficient structure and tracking. Demonstrate expertise in applying project management best practices & tools throughout project life cycle.Develop & track an integrated plan with supporting documentation to track the day to day deliverables.Develop communication plan to ensure high levels of user participation.Identify and escalate issues to ensure appropriate resolution.Effectively communicate project progress at various management levels.Provide budget management support, including creating and presenting monthly, quarterly and yearly budget reports;Provide project control support and ensures project teams are informed and operating per prescribed methodologies, regulatory guidelines and identified compliance activities are completed as required;Manage processes to ensure compliancy on essential projects reporting data including project health, budget, start & end date, etc. Ensure that the information provided is accurate, complete, of quality and up to date.Provides backup/assistance to the Project Managers on purchase order management on the overall Facility Projects portfolio;Ensures adoption of principles of project management life cycle methodologies, tools and best practices, ensuring that appropriate documentation is in place;Audits Project Managers documentation ensuring proper department methodology is used;Utilizes the Tririga enterprise project management system, and applicable templates to prepare documentation, track and monitor information;
QualificationsUniversity Degree or College Diploma, preferred.Certified Associate in Project Management (CAPM) or Project Management Professional (PMP) Certification or the equivalent an asset.A minimum of two years prior experience in a similar role or project coordinator / project administrator / project office role.Detailed knowledge of accounting related to projects costs and tracking and knowledge of Ariba and Peoplesoft systems.Experience working with Facility Projects management systems such as TririgaWorking knowledge of standard project management methodology, practices, and procedures (as defined by PMI).Strong problem solving skills coupled with the ability to work both independently and in a team environment are essentialFlexible, adaptable and ability to perform well under pressure Solid interpersonal, organizational, prioritization and analytical skills.Effective written and verbal communication skills and ability to influence at various levels of management and handle difficult clients and client project situations
