Position Overview:

The Boeing Global India team is currently looking for Senior Office Administrator to join their team in New Delhi, India.

The successful candidate will support executive team members in our office in Delhi, India.

The ideal candidate has experience supporting senior executives and possess a high degree of professionalism and is steady in a high-pressure, fast paced environment. The ideal candidate will foster a friendly environment, will have strong interpersonal skills, demonstrated leadership, strengths working as part of a team, confidentiality, diplomacy, and tactfulness. A strong customer focus is also key to be successful in this role.

Position Responsibilities:

The responsibilities for this position include, but are not limited to, the following:

  • Establishes and maintains effective working relationships with internal and external stakeholders, co-workers and peers, while maintaining the highest level of confidentiality with sensitive information and while working under tight and often competing deadlines

  • Coordinates domestic and international business travel, monitors traveler logistics, generates expense reports, and reconciles corporate credit card charges to ensure timely and accurate reimbursement for the executive team members

  • Assists in planning, coordinating, and implementing logistics for visiting Boeing senior executives

  • Prioritizes and schedules executive and management-level employee time and availability for efficient use of time; tracks and maintains designated conference room schedules

  • Coordinates with the appropriate focal(s) to support the acquisition and maintenance of resources for the office; Orders and maintains office supplies

  • Promotes teamwork and value-added ideas to management

  • Processes and screens incoming and outgoing communication and correspondence to ensure proper dissemination of information

  • Works under minimal supervision

  • Works outside of normal business hours on occasion to support statement of work

  • Some travel may be required to support regional events

Basic Qualifications (Required Skills/Experience):

  • Bachelor’s degree or higher is required as BASIC QUALIFICATION

  • 15+ years of experience as an Office Administrator supporting a senior Executive Leader.

  • 10 + years of experience and proficiency in Excel, Word, Outlook and PowerPoint and the ability to learn in house systems

  • 3+ years of experience coordinating and processing business travel arrangements utilizing Concur or a similar travel and expense management program; generating expense reports for business travel and reconciling corporate credit card charges to ensure timely and accurate reimbursement

  • 5+ years of experience in partnering with executives to help develop and manage the operating rhythm/cadence for executive leadership teams

  • 5+ years of managing complex agendas & travel arrangements involving multiple internal & external stakeholders

  • 5+ years for working with various industry bodies in India and coordinating for events, sponsorships etc.

  • 3+ years of experience in managing budgets and expenses

  • Experience working within a fast-paced team environment which required strong communication skills to frequently interact with Program Leadership, internal and external representatives and development teams

  • Experience supporting and engaging with executives and their leadership teams to coordinate priority needs, support internal and external events, and provide effective travel arrangements

Preferred Qualifications (Desired Skills/Experience):

  • Experience providing administrative support to multiple customers such as executives, managers, and staff members

  • Experience with written and verbal communication across diverse audiences

  • Demonstrate analytical and problem-solving skills

  • Adeptness in functioning as a liaison between senior executives as well as superior work prioritization and multi-tasking abilities

  • Excel at creating and sustaining effective working relationships with internal coworkers, executives and external audiences and partners while maintaining the highest level of confidentiality regarding sensitive information

  • Personable and professional phone demeanor; speak clearly, professionally and with decorum

  • Mature and independent judgment, takes initiative, and is flexible; highly responsive to the needs generated by the day-to-day activities of management and the organization; planning tasks; and leading in a team environment.

  • A high attention to detail, self-starter, results driven

Typical Education & Experience:

  • Education/experience typically acquired through advanced education (e.g. Bachelor) and typically 16 or more years related work experience or an equivalent combination of education and experience (e.g. Master+15 years related work experience.

This position does offer relocation within INDIA.
