Responsibilities
The Specialist, Onboarding will play a crucial role in executing the preboarding clearance process for all Spirit Team Members, from offer acceptance to Day 1, while maintaining strict regulatory compliance. The ideal candidate will be a highly organized team player, excelling in a fast-paced, high-volume, and regulated work environment.
- Support the candidate hiring process through Day 1 orientation, ensuring a positive candidate experience.
- Deliver a streamlined and compliant preboarding process for positions with varying requirements by initiating, monitoring, and adjudicating pre-employment activities including background check, drug screening, licensing verification.
- Ensure adherence to FAA and DOT regulatory standards, including SIDA, PRD, DOT drug testing, and 49 CFR Part 40 compliance.
- Communicate proactively with candidates through phone, email, and text to follow up on outstanding items, offering guidance and support throughout the preboarding process.
- Facilitate an engaging new hire orientation sessions and campus tours for incoming Spirit team members, enhancing their onboarding experience and fostering a sense of belonging within the team.
- Execute the I-9 verification system and process while ensuring compliance with USCIS standards, including the ability to process employment authorization documents efficiently.
- Support the Talent Acquisition team with administrative tasks as needed.
- Participate in monthly hiring events, which may require travel throughout the US.
- Maintain confidentiality and diligently protect the personal information of candidates and team members.
- Follow all policies and Standard Operating Procedures as instructed by Management.
- Perform any range of special projects, tasks, and other related duties as assigned.
Qualifications
- High school diploma or GED required.
- College degree preferred.
- 1-3 years experience in a previous HR administration or a regulatory compliance position required.
- Strong critical thinking abilities and exceptional attention to detail, capable of analyzing complex situations, making informed decisions, and ensuring accuracy in all tasks.
- Excellent attention to detail with a track record of managing sensitive information with a high accuracy, ensuring that all required documentation and records are meticulously reviewed and processed.
- Familiarity with aviation regulations, such as FAA requirements, and the ability to navigate compliance standards related to employment verification a plus.
- Experience in conducting background checks, reviewing records, and assessing eligibility based on established criteria for various roles preferred.
- Ability to manage multiple tasks and priorities in a fast-paced environment, ensuring timely completion of all hiring-related actions.
- Comfortable performing repetitive tasks.
- Telework Capacity: Hybrid
- Domestic & International travel under 10 of the time.

- Ability to engage all candidates with the highest standards of personal, professional, and ethical conduct.
- Ensure comprehensive understanding of U.S. citizenship requirements and the documentation needed for non-U.S. citizens, while supporting and executing the I-9 verification system and process to maintain compliance with USCIS standards for both groups.
- Must have technical acumen and be comfortable working with dashboards and widgets, as well as working in different systems daily.
- Ability to manage candidates at different phases of the preboarding process, with varying hiring requirements.
