Apollo MedFlight is seeking a highly organized and customer service-oriented Communications Specialist to serve as the first point of contact for regional referral agencies and customers.

Job Summary

This role is critical in coordinating the safe and efficient transport of patients in need of critical care. The Communications Specialist will manage a variety of communication systems, including phone, radio, dispatch software, and mapping tools, ensuring seamless operations between air and ground transport teams.

 Key Responsibilities:

  • Operate phone systems, radio consoles, dispatch software, mapping systems, and related equipment to coordinate medical transport services.
  • Dispatch appropriate air or ground transport resources based on request, maintaining clear communication with medical teams, public safety agencies, and other stakeholders.
  • Provide detailed information on aircraft and ground transport availability, locations, and time estimates.
  • Support flight crews by providing directions to landing sites and necessary patient information.
  • Ensure proper documentation of all dispatch activities, including timestamps and transport details.
  • Maintain up-to-date knowledge of referral sources and hospital locations, and interpret maps to assist with transport logistics.
  • Deliver exceptional customer service in all interactions with coworkers, medical personnel, and emergency services partners.
  • Accurately enter and maintain records, reports, and daily logs within the dispatch system.
  • Participate in company educational programs and assist with other duties as assigned.
Job Requirements:
  • High School Diploma or equivalent
  • Valid driver’s license
  • Proficient in English, with excellent verbal and written communication skills
  • Ability to pass a federal background check and DOT pre-employment drug screening
  • Strong multitasking abilities and the capacity to remain calm under pressure
  • Proficiency in computer skills and data entry
  • Certified Flight Communicator (CFC) certification within 90 days of hire
  • Ability to operate radio equipment and dispatch software (training provided)

 Preferred Qualifications:

  • Two years of dispatching experience in emergency services, air traffic control, or healthcare settings
  • Certification as an EMT, Paramedic, or Emergency Medical Dispatcher (EMD)
  • Experience with FlightVector or similar dispatch systems

 Work Environment:

  • Office setting with prolonged periods of sitting and extensive computer use
  • Frequent communication via phone, radio, and written documentation
  • Ability to read and interpret maps and related materials

 Schedule:

  • Full-time position.
  • Rotating 12-hour shifts. Guaranteed 8 hours of over-time each pay period
  • Nights & Weekends may be required
  • Opportunities for additional overtime as needed.
