Scheduler, Flight Coordinator, Flight Follower

Accountabilities and Duties

All flight departments have someone responsible for scheduling the flights. In this flight department, these duties may be accomplished by the Aviation Department Manager or assigned as collateral duties to the flight crew or administrative personnel. The person responsible for scheduling the aircraft, including those holding a Certified Aircraft Dispatcher certificate shall have knowledge of the company operations manual and procedures, national and international (if applicable) regulations and standards, and the company aircraft, including IS-BAO requirements among others.
 
The person shall also have effective communication skills and defined methods to communicate to crewmembers, maintenance personnel, and company personnel. The position generally requires knowledge and skill with computer software, including FOS, Stellar, ARINC etc.
 
Some duties and responsibilities of this position could include:
  1. Scheduling travel for executives/clients on company aircraft or other lift alternatives such as charter, including, once trained and qualified, providing charter quotes when applicable
  2. When properly trained and qualified, providing the flightcrew with the flight plan and weather information
  3. Maintaining and updating aircraft and crew schedules to ensure compliance with company and regulatory requirements
  4. Obtaining international permits and visas and coordinating with outside aircraft service handlers for international flights, if applicable
  5. Maintaining department records and administrative support, including invoicing when required
  6. Maintaining inventories of charts and related flightcrew materials - electronically
  7. Coordinating aircraft handling and fueling with fixed base operators, including updating FOS with fuel contract information
  8. Maintaining a flight following system, via company provided methods
  9. Coordinating maintenance on the aircraft with the DOM, DO, President or others necessary
  10. Developing and maintaining security policies or procedures and communicating these procedures as needed to passengers, including one hundred percent (100) verification of passengers for hire against TSA approved sources, i.e. FOS or company supplied method
  11. Interfacing with flightcrews, management, maintenance, and passengers
  12. Scheduling ground transportation and accommodations
  13. Arranging catering and addressing allergy mitigation, medication needs or replacement for passengers, including direct knowledge of food safety programs
  14. Supervision of interns, if any, with regard to customer service and company presentation
  15. Pass initial and recurrent training on the company, FOM and other manuals, including quality processes as directed by senior leadership
  16. Have working knowledge of fuel quality processes as they pertain to aviation safety 
 
Job Requirements:

 

  • Must actively participate in Company SMS and FRMS Programs
  • Must achieve Certified Dispatcher (FAA) status within 24 months of hire

 

Preference granted to 4 year degree or higher, NBAA CAM, previous dispatch/scheduling/fight following experience, must be able to work in a paperless environment with regard to all elements of position and comply with all Company Policy with regard to appearance, grooming, etc.  
 
Salary Range: 0-NBAA Median Scale
Relocation: $3000 if move is greater than 100 Miles
