Role Introduction

We are looking for an individual to join our Engineering Team in Vancouver. The successful candidate will support the Engineering Manager in all administrative duties and associated activities for the Line Station in order to achieve legislative and company requirements.

Key Responsibilities

Administration and Communication

  • Create and nurture a strong relationship with customer airlines
  • Provide support with company material handling storage and custom clearances
  • Check and ensure flight handling record is correctly entered
  • Liaise with local Engineering offices and Hong Kong Line Maintenance to comply with company procedures as required
  • Provide support to maintain office stock and perform audits
  • Support local and Hong Kong Line Maintenance projects as requested
  • Ensure working knowledge of relevant Information technology systems is maintained
  • Maintain operational familiarity with the various methods of communication such as walkie-talkie, internet, facsimile, Microsoft Teams, SITA
  • Assist with placement of orders and process refunds
  • Accurately enter third-party customers’ sales and cost figures
  • Support in arranging duty travel for Engineering team employees, relief engineers, auditors and other visitors as required
  • Assist to arrange both internal and external events
  • Provide administration support to Engineering team members and visitors as required
  • Any other reasonable task as requested

Finance

  • Input salary data including overtime and allowances of Engineering team members and reconcile against attendance records
  • Examine invoices from Ground Handling Agents and service providers to ensure claims match internal records for correct payment and adjust as required
  • Process invoices and other financial transactions via SAP
  • Prepare and submit invoices for third party customers
  • Monitor monthly expenditure and help to ensure it is used within budget
  • Check and ensure all the claims made though FIORI by engineers are correct
  • Manage petty cash and ensure usage records and all supporting documents are correctly maintained

Working Environment and Safety

  • Maintain personal safety when on duty at all times
  • Control inventory of first aid kit and other tools for hygiene control
  • Report any unsafe work conditions and hazards
  • Participate in fire drill or other safety drills / trainings

Equipment, tooling and Facilities

  • Assist with the administration of station ground equipment and vehicles
  • Assist with station engineering office / store fire protection
  • Ensure office maintenance and cleanliness of the Engineering facility
  • Operate vehicles in restricted area to transport documents / goods and personnel as required
  • Assist to purchase maintenance tools as requested

E&A

  • Emergency and Accident and Crisis Response responsibilities as required
Requirements

Academic Qualifications

  • High school graduation or above

Knowledge, Skills, Training and Experience

  • Excellent ability to speak, read and write in English
  • Experience of working in an airline / airport environment is an advantage
  • Previous customer service, flight operation or cargo handling and / or administrative duties
  • Strong time management skills with the ability to prioritise and adapt to changing tasks
  • High attention to detail and able to work unsupervised
  • Proven ability to deliver results and help to drive internal and external customer success
  • Demonstrable ability to remember and follow company policies and procedures
  • IT literacy including Microsoft 365
  • Demonstrable aptitude of understanding of aircraft maintenance administration requirements
  • Possess valid Class 5 Canadian driver’s license
  • Must have the right to live in work in Canada
