As a Procurement Specialist, you will source and negotiate the best quality products, goods, and services for the company, securing the most economically advantageous outcome. This role encompasses reviewing and contributing towards specifications for goods and services, sourcing credible suppliers, negotiating prices and contracts, and measuring and managing supplier performance with respect to contract and/or purchase order requirements.
What youll do:
Purchasing
- Obtains and reviews quotes through a variety of processes, from informal RFQ (Request for Quotation), through to full tendering and evaluation.
- Obtains best value for money for purchases undertaken through effective negotiation with potential suppliers; maintains the quality requirements of the business in relation to procurement activities and applies best industry practice.
- Supports site requirements with regard to Facilities requests – sourcing and coordinating contractors and service providers to ensure operational requirements are met.
- Collaborates with other areas of the business to prepare business cases for capital expenditure requests, working with suppliers and end users to develop specifications suitable for the requirements while controlling costs.
- Carries out inventory control functions by balancing company goals )costs, quality, delivery), monitoring and controlling customer consignment parts, reviewing opportunities to consume excess/obsolete inventory, rescheduling orders if their receipt is premature, monitoring reduce to spares inventory levels, and transferring inventory between service center locations if necessary.
- Manages, plans and reports on the status of all inventory owned by the business unit; includes working with and setting targets with the service centers. Plans the purchase of all assigned inventory based on forecasts, percentage replacement factors and the alternate parts data file.
- Researches new products and vendors; provides data to technical staff and assists them in purchasing decisions. Expedites orders to ensure timely delivery of purchases by verifying initial demands and analyzing backorder reports.
- Communicates product delivery information across all levels of the organization by attending required meetings or via electronic data inputs.
- Initiates purchase orders for inventory/subcontract/supplies and works with suppliers to monitor and/or expedite delivery.
- Interfaces with vendors, staff and management to resolve discrepancies, answer questions and provide guidance and training on inventory systems. Recommends enhancements to material planning systems.
- Controls data integrity of inventory systems by creating and updating item master files, analyzing engineering control changes, monitoring past due purchase orders and work-in-progress, researching inventory discrepancies, verifying and updating alternate parts file as needed, and verifying and updating standard costs.
- Coordinates and monitors the return of damaged goods, arranging for replacements or credits, and documents all transactions. Conducts follow-up with suppliers to resolve any delivery, quality, or cost problems.
- Researches and reconciles discrepancies noted during cycle count process.
- Carries out new, used and/or sub-contract supplier/vendor development for the business unit by sourcing new vendors, negotiating price and delivery terms, administering vendor qualification surveys in accordance with approved processes and work with internal team for supplier mastering/changes. Educating suppliers on the material policies and procedures of the business unit.
- Participates in the recommendation of business unit material policy discussions. Exhibits an understanding of complex material/financial situations.
- Reviews and recommends updates to company instructions and material policies and procedures.
- Comprehends and reacts to reports on the following measures of performance for assigned inventory and/or supplies: overall stock levels; inventory turns; aged inventory; due date compliance; shortages; cost savings opportunities.
- Interacts with logistics to ensure maximization of freight savings and to communicate priority shipments of incoming materials.
- Responsible for observing all applicable safety requirements and reporting immediately any unsafe practices/conditions.
General
- Understands supplier sourcing and approval policies and procedures; interfaces with suppliers, staff, and management to obtain appropriate documentation and approvals.
- Interfaces with suppliers, staff, and management to resolve any procurement related discrepancies.
- Manages supplier warranty processes for goods or services requiring rework, replacement or credit.
- Responsible for observing all applicable safety requirements and reporting immediately any unsafe practices/conditions.
- Carries out other duties as assigned.
What you will need:
- Minimum Grade 12 diploma; preference will be given to individuals with post-secondary education in Business Administration, Finance, or Supply Chain.
- Prior procurement experience preferred; thorough knowledge of sourcing and tendering, supplier relationship management.
- Strong planning, organizational, analytical, negotiation, interpersonal, decision making, oral and written communication skills.
- Thorough knowledge of inventory control, purchasing and production management computer systems.
- Thorough knowledge of Microsoft Office (Word, Excel, Access, Outlook); SAP and Oracle experience a plus.
- Experience in an aviation environment an asset.
- Experience working in an MRO environment an asset.
- Must be authorized to work in the U.S.
