The Maintenance Coordinator shall build lines in AIMS to set-up travel, lodging, rental cars, ground transportation, and provide this information along with applicable station contact to maintenance personnel as required. This role serves Tulsa Maintenance Directors and Managers, Stores, Quality Control/Inspection, Heavy Maintenance, Base Station personnel, Maintenance Training, MX class attendees, and contractors. Duties shall include but are not limited to the following: |
- Create daily schedule for Flight Mechanics, and verify crew stops and qualifications on OAI routes
- Complete schedule 11 days out, and have schedule reviewed by another Coordinator. Build lines at least 9 days out
- Run the Gen Dec Daily to ensure mechanics are loaded on appropriate OAI flights
- Run validation report each morning, check violations, review schedule to make appropriate changes as applicable
- Run a ground report every morning to ensure staffing at stations for aircraft down time.
- Take note of schedule checks, and staff appropriately
- Create various letters for Maintenance personnel
- Stations requiring FBI case numbers for badging purposes
- Mechanics to receive more pages in passport
- Relieve mechanics from Jury Duty when needed
- Attach and update all mechanic badges in AIMS, and applicable spreadsheets
- Advise mechanics of badge expirations, and facilitate renewals
- On the 4th and 20th of each month, print and record all expense reports, collect signature(s), deliver approved reports to payroll for processing
- On the 20th of each month, publish in AIMS so the mechanics can view their ECrew
- Maintain phone list for Tulsa and base stations
- Document incoming credit card receipts then match, attach, code, and approve
- Monitor Mechanics for timely submission of credit card receipts
- Brief New Hires Mechanics on: Schedule, Credit Card report forms, Expense report forms, Per-diem, CAC, and ECrew
- Explain policies and procedures, email links to all forms as applicable
- Issue and disperse uniforms for new employees, submit information for AIMS entry, email addresses, and distribution lists, including distribution of shot information and bag tags
- Order Visa and MasterCard for mechanics
- Maintain list of all Company issued items for Maintenance and Stores personnel
- Collect all issued items from personnel leaving company (reconcile to checklist)
- Send Human Resources and Payroll an itemized list of items collected so final check can be disbursed
- Order and maintain stock, uniforms, and badge holders
- Create, organize, and maintain spreadsheet of uniforms in annex
- Inventory annex periodically
- Review Overtime and/or Vacation requests, and grant or deny based on staffing and schedule
- Make required personnel entries into AIMS, track all travel in AIMS, and update when required
- Deliver Company mail daily for Directors, and open company mail addressed to MX Coordinators
- Perform other such duties as assigned by Manager and Director of Maintenance.

- Excellent computer skills with Microsoft products

- High school Diploma or GED
- Prior maintenance experience desirable
