Job Summary

Under direct supervision of the Manager, Airline Services provides administrative support duties for Airline Services; and tracks daily and weekly timekeeping records for employees using the ADP Timekeeping system.

 

Here is how the Maintenance Support Coordinator will help:  

  • Act as the first point of contact for the Airline Services department.
  • Report tenant requests to appropriate Airline Services Supervisor. 
  • Track and verify timekeeping activities such as overtime, request for time off for Airline Services employees.
  • Maintain up-to-date office files and records related to employees.
  • Inform and assist employees with Airline Services procedures and policies, timekeeping policy rules, and other issues, as arise.
  • Create, track, and close out all work orders.
  • Order and maintain office supplies and inventory.
  • Create preventative maintenance work orders – daily, weekly, monthly, etc.
  •  Compose letter, memos, completed material and equipment specifications, prepare reports, schedules, spreadsheets, and statistical materials.
  • Submit travel and expense reports for Director and Vice President.
  • Coordinate meetings and training for employees.
  • Provide support to Parts Room Supervisor/Storeroom Supervisor by entering, receiving orders, and processing invoices for orders/shipments.
  • Liaison between the ID Badge Office and the Airline Services department.
  • Customs Security Liaison for the department.
  • Coordinate vacation bidding and scheduling for Airline Services personnel.
  • Onboard and complete pre-hire tasks for new hires to the Airline Services department, schedule fingerprinting/background checks, start dates, request key requests, and all other departmental paperwork.
  • Assist other departments with employee events and plan logistics for events.
  • Provide operational support to manager/supervisor-level team members. 
  • Train new hire supervisors on multiple data entry systems
  • Performs other related tasks as assigned or required.

Qualifications


The following requirements list the minimum education/training/experience required to qualify for this job.  An equivalent combination of education and/or experience may be considered.

 

Requirements to apply for the role of Maintenance Support Coordinator are:

  • High School diploma or GED.
  • Two years’ experience in areas such as maintenance, clerical, or data processing.
  • Two years’ experience using accounting system software such as Oracle, PeopleSoft, SAP, or J.D. Edwards.
  • Two years’ experience with utilizing a timekeeping system.

 

We also expect that candidates will demonstrate the following knowledge, skills, and abilities in most cases:  

  • Considerable knowledge of JD Edwards One World applications.
  • ADP timekeeping system.
  • Proficient in Microsoft Office applications including Word, Excel, Power Point 
  • modern office practices and procedures.
  • Considerable ability to communicate effectively both orally and in writing.
  • Considerable ability to maintain confidentiality.
  • Considerable ability to establish and maintain effective working relationships.
  • Some ability to make simple arithmetic calculations manually or by use of a calculating machine according to established methods.
  • Some knowledge of the Airports&39; layout and infrastructure.
