Primary Objective of the Position:
Under the guidance of the Payroll Manager, the Payroll Team Lead will ensure successful payroll operations, compliance, training, data analysis, and reporting. The Payroll Team Lead will be accountable for proper payroll processing, preparing and submitting appropriate taxes and reports, and backup the Payroll Manager in supervising the payroll team, and resolving payroll issues and concerns. In addition, the Payroll Team Lead will be responsible for overseeing the implementation, configuration, and ongoing support of UKG Workforce Management solutions.

Essential Position Functions:

  • Payroll Operations: Oversees the day-to-day operations of the payroll team to ensure that payments, deductions, contributions, corrections, timecards, terminations, etc. are processed timely and accurately. This includes, but is not limited to, establishing the workflow and ensuring standard operating procedures, practices, and policies are maintained and monitored to ensure efficient operation. Manage monthly billings from insurance providers and other vendors, including review of billings for accuracy.
  • Regulatory Compliance: Establish, implement, and maintain plans to ensure that payroll procedures and outcomes adhere to relevant laws, regulations, guidelines, and specifications. Research payroll regulatory changes within the industry and the CRA, assess the implications and report on and make recommendations for action/implementation resulting from those changes in close collaboration with Human Resources. Adhere to company and legislated confidentiality and privacy policies. Ensure company compliance with Canada Labour Code legislation
  • Data Analysis & Reporting: Analyze data and prepare reports for all activities within payroll operations, including but not limited to completeness and accuracy of each payroll, accumulated paid time off for employees, fluctuations and discrepancies in balances, net pay, taxes, benefits, and general ledger recording. Ensures annual T4 filing is completed accurately and on-time.
  • Systems implementation & Administration: Develop and maintain a deep and broad understanding of UKG and timekeeping systems. Provide subject matter expertise to assist in project implementation, system upgrades, troubleshooting system problems and/or breakdowns. Test system changes prior to implementation, document outcomes, processes and procedures. Lead and manage UKG implementation projects from initiation through to completion, ensuring adherence to project timelines, scope, and budget.
  • Training: Conduct team member and manager training to communicate how the payroll system works, the importance of the time and attendance system, as well as any change in applicable payroll practice or system functionality.

Minimum Qualifications:

  • 6+ years of payroll administration experience.
  • CPA Payroll Leadership Professional (PLP) designation preferred.
  • Extensive knowledge of payroll programs Canada Labour Code and related taxation.
  • Payroll Software experience and expertise required – UKG Pro and Dimensions
  • Ability to demonstrate integrity and professionalism when dealing with confidential and sensitive information.
  • Strong time management and organizational skills.
  • Strong interpersonal and communication skills
  • Ability to prioritize and deliver results independently while working in a fast-paced environment.
  • Advanced Excel skills required.
