Summary

Responsible for coordinating all activities associated with the Dunkirk outside conversion business as well as administrative needs within the Dunkirk facility. The conversion business totaled $16.5 million in sales in 2023 and generated approximately $5.5 million in direct margin.

Essential Functions:

Position requires excellent communication and interpersonal skills to effectively coordinate activities between the customer, Manufacturing Manager, Production Planner, Process Engineer(s), Accounting Department in New Hartford, etc. Position requires high degree of concentration and attention to detail to assure that the customer specification and order requirements are completely and accurately communicated to the plant floor. Position also requires in-depth working knowledge of the PC and the software applications used to maintain and manipulate various data related to the conversion business that is now implemented in the Oracle business system.

Additional Responsibilities:

  • Review customer purchase orders for correct price, satisfactory description of product, adequate conversion instructions, etc.
  • Maintain current price lists for quoting purposes and work with the Process Engineer & Manufacturing Manager to quote “new” items.
  • Assign an item to each part ordered by the customer to implement into the Oracle business system.
  • Enter the price of the item into the Dunkirk price list of the Oracle business system.
  • Enter sales order for the customer’s item in the oracle business system.
  • Generate the Bill of Materials by entering a routing through the Oracle business system to be applied to DK CONV.
  • Apply a WIP job to the part being ordered by the customer through the oracle business system to send this job order to the shop floor (front-end screen). Then under the Dept for receiving enter the starting weight, size, pieces and applicable data collection plans.
  • Generate a Manufacturing Order Card for the WIP Job and apply an assigned forge table to repeat conversion orders or work with the Associate Engineer to develop a new forge table for conversion orders to satisfy purchase order requirements.
  • Work with Plant Manager and Manufacturing Manager to schedule conversion orders and give delivery dates to customers when required. Keep Plant Manager up to date on amount of backlog and consult on new conversion sources as per inquires, maintains an up-to-date credit report on all customers.
  • Maintain conversion order status for customers as required.
  • Communicate to customers all applicable "variances" which might occur on their orders.
  • Work with the customer to coordinate shipping and make out all applicable shipping paperwork. First, using the Front-End screen the item must be shipped to stock in the Oracle business system with all the proper information. Then shipping the customer&39;s item is done through the Oracle business system PICK, PACK & SHIP CONFIRM.
  • Print a Sales Order Acknowledgement through the Oracle business system and apply notes to include the customer’s heat number and forge and anneal specifications. Send copy to customer.
  • Maintain and file all conversion order related documentation; including sales order, manufacturing order card, observer report, “variances”, and shipping and receiving documents which must comply with ISO.
  • Administers distribution and maintenance of Quality Assurance Procedures.
  • Calculate shift production incentives.
  • Develop working knowledge of conversion customer alloys and requirements.
  • Improve overall knowledge of Dunkirk plant operations and procedures, particularly in areas of conversion processing quality.
  • Develop PC skills to make report generation and data maintenance more accurate and automated.
  • &39;Cross-training" in order to assume various "office related" tasks to cover for vacations and illness in the other office positions. This includes administrative duties like scheduling and payroll data entry.
  • Conversion Coordinator will be considered for promotion to position for which adequate training and skills have been demonstrated, when and if such opening become available.
  • Improve and develop more knowledge of the Oracle business system.

Education and Experience

Associate degree in business or similar discipline preferred but not required. Must have at least 3 years of relevant office experience in an industrial setting. Experience in forging is a plus.

For informational purposes only, the range of pay for this role is $44200 to $55200 US Dollar (USD) Salaried based on a variety of factors. For informational purposes only, this role is eligible to participate in the Company’s Quarterly Cash Bonus Plan, paid out at the quarterly bonus factor of 1X the Company’s bonus multiple, based on the Company’s performance in the applicable quarter. Employees will receive 120 hours paid time off every year. Employees will also receive 10 paid holidays.
