Role Introduction
This position is to provide a full range of quality secretarial and personal assistance support to the Director.
Key Responsibilities
Secretarial Affairs
- Perform diversified secretarial and assistance duties, provide full spectrum support to Director.
- Manage Director ’s schedule, coordinate meetings, appointments, and conferences with internal and external parties ensuring effective time management.
- Handle travel arrangements such as flight availability check, ticket issuance and hotel accommodations and organise related itineraries for Director and overseas consultants as well as guests
- Prepare presentations, reports and all preparation for meetings with both internal and external parties
- Handle enquiries and requests and external communications with professional manner
- Acting as a liaison contact for external business partners, VIP guests and clients professionally
- Process Director’s expenses claims via SAP system accurately
- Organize regular and ad-hoc events, meetings, business lunches and dinners for Director
- Assist in preparing and monitoring budgets, expense reports related to Director’ s portfolio
- Own and progress specific projects for the Director as required
- Arrange concessional travel requests for interline employees as required
- Organise travel arrangements for contracted agreements and prize winners
- Undertake ad-hoc tasks as assigned
Administrative Support
- Coordinate events and employee functions as required (e.g. Annual Conference, Townhall, etc,)
- Liaise with building management and manage office facilities as required
- Provide administrative and logistical support to secondees with moving to and from Chinese mainland (e.g. work permit, visa, leasing, etc.,)
- Provide administrative support to the wider Senior Management team as required
E&A
- Emergency and Accident and Crisis Response responsibilities as required
Requirements
Academic qualifications
Knowledge, skills, training and experience
- Minimum 7 years’ secretarial/administration experience with at least 3 years being a secretary to a senior executive
- Good problem solving skills and capable to handle sensitive and confidential information
- Good communication and interpersonal skills with the ability to deal effectively with internal and external parties
- Able to handle correspondence with minimal supervision
- Flexibility in adapting to different management styles
- Sensitive and responsive to the requirements of different cultures and personalities
- Strong planning and organizing skills and attentive to details
- Able to work under pressure and to meet tight deadlines
- Good command of spoken and written English and Chinese
IT literate and fully conversant in the use of Microsoft applications (e.g. Word, Excel, PowerPoint, Outlook)
