JOB DESCRIPTION TITLE: Ground Coordinator REPORTS TO: Director of Logistics OVERVIEW:

To support and serve as the link between the Ground Handling Department and OCC by coordinating, supervising and following up with designated handlers, fuel providers, catering, cleaning services, etc. The GC shall gather all information necessary to ensure the smooth operation of each flight. The position is designed to reduce workloads for all departments (Sales, Catering, Security) involved in the daily flight ops by providing back up and ensuring all contracted services made are successfully carried through. The Ground Coordinator reports to the Manager of OCC and it is a position in OCC.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: • The Duties and responsibility of the Ground Coordinator include but it is not limited to the following: • assisting dispatchers on duty in maintaining operational control, TSA vetting and transmission of passenger flight manifests • Relay requests from ground handling requests and operational schedules to downline stations • Coordinate flight information and delays with office staff and stations via the use of the company’s RAIDO system. • Reviews and reconfirm all details for the next day’s ground handling/catering and special services. • Follow up with stations on any irregularities/service failures, etc • Update departure/arrival information in RAIDO

• Assisting flight dispatchers with the dissemination of flight critical information (diversions, emergencies, etc.) to all internal departments via the use of the RED FLAG reporting system • Notify all internal departments and involved stations of flight delay information.

• Secure Miami gate and ramp parking assignments with assistance of local ground handling team • Coordinate fueling with local vendors for departures out of Miami. • Report of all ferry flights departing MIA daily to Miami-Date County Ramp Control • Make all applicable manifest changes for non-terminal operations that come in for future flights by email and forward corrected manifest to assigned GSC, Ground Handler, and Passenger Services • Contact all assigned FBO’s for the next day’s operation to review report time and remind them to coordinate with assigned screeners when applicable. • Via the use of Airline choice, coordinate with Handler all manifest changes during flight check-in to remove no-show passengers or to clear add on passengers for Security, correct total of passengers boarded with crew before aircraft can depart. • If flight is international and non-terminal ops: Transmit all Domestic and International APIS information to Customs. • Follow up with Security Dept. any discrepancies with CBP and APIS programs. • Assist Dispatch with phone calls, flight following, all abnormal operations and any other duties. • Communicate aircraft movement messages to destination stations and TACC.

Profile Requirements

The coordinator position maintains flexibility in its role and shall provide operational support in all applicable aspects which leads to the successful completion of each flight.

The successful candidate for this position must:

• Display a positive, open and cooperative behavior in order to facilitate a good relationship inside and outside the department, avoid and help solve conflicts.

• Comply with Company policies, values and ethics.

• Report to hierarchy any unusual mishaps, non-compliances of terms set in the contracting process and risks whether to employees or to the company.

• Ability to work under pressure and multi-tasking.

SKILLS AND QUALIFICATIONS:

• Proven track record, good knowledge and experience in all Airside Operations (Ramp, Traffic, Baggage…)

• Previous experience of working in a multi-cultural environment

• Aviation qualification (FAA certificates)

• Must have exceptional communication skills to effectively communicate with all senior management, Miami Dade gate assignment, service providers to ensure that the operational plans and activities are executed efficiently and effectively.

• Understanding of airport and airline ground operations

• Computer literate

• Excellent oral and written communication skills

• Excellent command of the English language

• Excellent communication skills • Able to be flexible as schedule varies, 24/7 operations with Holidays/Weekends/Shift work, occasional short notice call out. • Able to work 4 days per week, 10 hours per day.
