We are actively seeking an experienced Executive Assistant, Marketing & Customer Success Operations. This position work from our Torrance, CA locations, and reports to the Vice President of Marketing & Communications, and Vice President of Customer Success.
This role is critical in supporting the efficient and successful support of the Marketing & Customer Success departments at Robinson Helicopter Company. The Executive Assistant will play a key role in managing budgets, branded merchandise inventory, vendor relationships, and scheduling of formal customer visits while also providing essential administrative support for various spaneting, communications, and customer success growth initiatives.
POSITION RESPONSIBILITIES:
- Budget Management & Financial Oversight:
- Manage intricate budgets across various spaneting and customer service areas, ensuring accuracy and adherence to financial guidelines.
- Manage budgeting, billing, and invoicing of external vendors within the spaneting and customer service teams.
- Track and reconcile all expenses related to spaneting campaigns, customer service initiatives, and team travel.
- Prepare and analyze monthly financial reports on all budgets, merchandise inventory, and profitability with the finance team.
- Expense reporting for growth initiatives
- RHC Branded Inventory & Merchandise Management:
- Manage all RHC inventory on site and in the online store.
- Order and ensure the merchandise store is stocked with high-performing merchandise and merchandise.
- Support swag and give away orders that support customers, new business, dealers, and trade show attendees engaging them.
- Event & Travel Support:
- Support trade show planning and group travel booking as necessary, including:
- Researching and booking travel accommodations (flights, hotels, transportation)
- Assisting with event logistics and on-site support as needed
- Training & Development Support:
- Support dealer and service center training, including:
- Scheduling training sessions and coordinating logistics
- Assisting with the development of training materials
- Providing administrative support to trainers
- Report tracking of dealer and service center agreement information for compliance
- Communication & Scheduling
- Manages communication both internal and external
- Coordinates with internal and external executives and customers on various projects and tasks as assigned by spaneting and customer success teams
- Assists with calendar management, scheduling appointments, and coordinating meetings with team members
- Provides clerical support such as data entry, document preparation, and proofreading materials for accuracy
